2. Purpose and scope

These terms govern access to and use of the ininvoice.com website and the SaaS service of automatic reconciliation of supplier invoices (hereinafter, the "Service"). By accessing the website or subscribing to the Service, you accept these terms in full.

If you do not agree with any of these conditions, you must not use the Service.

3. Service description

ininvoice is a SaaS platform that offers:

  • Automatic ingestion: read-only connection to your email account (Gmail or Outlook) to extract invoices, purchase orders and delivery notes.
  • Classification and OCR: automatic document classification and data extraction using artificial intelligence.
  • Three-way matching: line-by-line reconciliation of invoices against purchase orders and delivery notes.
  • Anomaly detection: identification of price mismatches, incorrect quantities, duplicate invoices and suspicious documents.
  • Approval dashboard: interface to approve, reject or request additional information for each invoice.

4. Registration and user account

  • To use the Service, you must create an account providing accurate and up-to-date data.
  • Two-factor authentication (2FA/TOTP) is mandatory for all users.
  • You are responsible for keeping your access credentials confidential.
  • You must notify us immediately of any unauthorized use of your account via hola@ininvoice.com.
  • We reserve the right to suspend or cancel accounts that breach these terms.

5. Pricing and billing

  • Standard plan: 249 EUR/month (VAT not included). Includes up to 300 documents processed per month.
  • Enterprise plan: custom pricing based on volume. Contact hola@ininvoice.com.
  • Billing is monthly and charged in advance.
  • Prices may be updated with a minimum 30-day notice.
  • No commitment: you may cancel your subscription at any time without penalty.

6. Email access

By connecting your email account (Gmail or Outlook), you authorize ininvoice to:

  • Access your inbox in read-only mode.
  • Identify and extract attachments that contain financial documents (PDF, images, XML).

ininvoice does not send emails on your behalf, does not modify or delete any message and does not access the content of emails that do not contain financial attachments. You may revoke access at any time from your Google or Microsoft account settings.

7. Intellectual property

  • All website and Service content (texts, designs, logos, source code, algorithms) is the property of ininvoice or its licensors and is protected by intellectual and industrial property laws.
  • You are granted a limited, non-exclusive, non-transferable and revocable license to use the Service in accordance with these terms.
  • Your data: you retain ownership of all documents and data you upload or that are processed through the Service. ininvoice only uses them to provide the contracted service.

8. Acceptable use

You agree not to:

  • Use the Service for illegal or unauthorized purposes.
  • Attempt to access accounts, systems or data of other users.
  • Reverse engineer, decompile or disassemble the software.
  • Send malicious content (malware, viruses, harmful scripts).
  • Intentionally overload the Service infrastructure.
  • Resell, sublicense or redistribute access to the Service without express authorization.

9. Availability and support

  • We strive to keep the Service continuously available, but we do not guarantee 100% uptime.
  • We may perform scheduled maintenance, which will be communicated with reasonable notice.
  • Technical support is provided by email at hola@ininvoice.com during business hours (Monday to Friday, 9:00-18:00 CET).

10. Limitation of liability

  • The Service is provided "as is". ininvoice does not warrant that reconciliation results will always be accurate or complete.
  • Final responsibility for approving or rejecting invoices rests with the user.
  • ininvoice shall not be liable for indirect, incidental, special or consequential damages arising from use of the Service.
  • In no event shall ininvoice's total liability exceed the amount paid by the user during the last 12 months.
  • These limitations do not affect rights recognized as non-waivable under applicable law.

11. Cancellation and termination

  • By the user: you may cancel your account at any time from the Service settings or by sending an email to hola@ininvoice.com. Cancellation will be effective at the end of the current billing period.
  • By ininvoice: we reserve the right to suspend or cancel your account in case of breach of these terms, with 15 days' prior notice where possible.
  • After cancellation: your data will be retained for 30 days to allow you to export it. After that period, it will be deleted unless a legal retention obligation applies.

12. Data protection

The processing of personal data is governed by our Privacy policy, which forms an integral part of these terms.

13. Modifications

We reserve the right to modify these terms. Material changes will be communicated by email with a minimum 30-day notice. Continued use of the Service after the modifications take effect implies acceptance.

14. Governing law and jurisdiction

  • These terms are governed by Spanish law.
  • For the resolution of any dispute arising from these terms, the parties submit to the courts of Barcelona (Spain), without prejudice to the jurisdiction granted to consumers under applicable regulations.
